Confirming Dining Spaces
To help you confirm your space in advance, please consider the following set of guidelines.
The Fairmont Olympic Contract Procedure
Contracts for event space can be sent two months prior to any events held Monday to Thursday.
Contracts for event space can be sent four months prior to any events held Friday after 5:00 p.m. or for events held Saturday and Sunday.
Prior to the time, The Fairmont Olympic Hotel must approve early contracting of all event space. Until a contract has been sent and returned with a signature to The Fairmont Olympic, no event space is contracted.
Please discuss with your catering representative the process for requesting early contracting.
2008 Food Minimums
All of the dining space at The Fairmont Olympic requires a contractual food minimum to secure space. These minimums vary depending on wedding seasons, day of week, size of space and time of day. Listed below are some of our most commonly requested days and rooms. Our published minimums are exclusive of tax, service charge and beverage costs.

Food and Beverage Estimates
The Fairmont Olympic Hotel specializes in creating custom menus to exceed your every culinary dream.
A general estimate of per person prices for food only are indicated below:
Brunch Functions $60-$100 per person
Three-Course Plated Lunch Functions $53-$80 per person
Three-Course Plated Dinner Functions $72-$94 per person
Four-Course Plated Dinner Functions with choice of entrée tableside $81-$130 per person
Buffet Dinner $100-$130 per person
Heavy Hors d ’oeuvre Stations $107-$250 per person
(Prices do not include beverages or hors d ’oeuvre prior to dinner; 20% taxable service charge and 9.5% Washington State sales taxes will be added to all charges.)
Wedding Ceremonies
The Fairmont Olympic can accommodate wedding ceremonies for up to 350 guests.
All Ceremonies are in conjunction with a reception at the hotel. Ceremony times are scheduled in three-hour intervals. Rates for three-hour ceremonies are:
Spanish Foyer $1,500
Metropole Room $1,500
Congress Room $1,000
Deposits and Space Confirmation
Dates are considered definite on receipt of a deposit and the signed catering contract. A non-refundable deposit of 20% of the total event estimate is required to reserve the space and will be credited toward the total cost of the function. This deposit is non-refundable in the event of full or partial cancellation of the function. Payment is due in full based on the estimated balance and an overage of 15% (14) days prior to the scheduled event date. Prepaid is based upon a written estimate; any overages paid will be rounded within (7) days of the event. In addition, a credit card authorization form must be submitted, along with copies of the front and back of the authorized card for any charges over the prepayment amount. These charges will be submitted at the final billing.
Guarantees
The Fairmont Olympic Hotel requires notification of the exact number of banquet, reception or meeting guest by 12:00 p.m. three business days (72 hours) prior to the function. This number constitutes a guarantee on which the charges will be based. No reduction in count will be taken after the guarantee is provided nor will the final guarantee lower the originally contracted food minimum. If fewer than the guaranteed number of guests attend the function, the patron will be charged based on the original guaranteed number or food minimum, whichever is greater. If no verbal or written guarantee is received, the contracted number of people will be considered the guarantee. Guarantees for food functions of 20 persons or less will be subject to a labor charge of $70.
